Camera-Ready Paper Submission (Due by June 10th, 2019)

 


All accepted papers require the explicit submission of a camera ready version, even if you do not intend to make any changes to your original submission. You must also complete the IEEE Copyright form and add a corresponding Copyright notice to your paper and check for compliance with IEEE formatting guidelines using IEEE eXpress.

To complete this process, please read carefully and follow the instructions below:

1. Instructions for final manuscript preparation

Use the IEEE paper template

Formatting checks are enforced in the submission phase for final manuscripts. Please allow extra time to fix any formatting errors and use PDF-eXpress to generate a compliant file.

·       Prepare the IEEE double-column US letter style format using IEEE Conference Proceeding templates. Attention: IEEE has updated the LaTeX template – please use the new template from the above link.

·       For IEEEtran class in LaTeX, use the following as the first line in your LaTeX source file:

·       Note that with IEEE conferences, the author affiliation is listed under the author’s name, unlike IEEE transactions.

·       Do not add any page numbering, header or footer(other than the copyright info discussed below, if applicable).

Add the copyright notice

You need to add a copyright notice at the bottom-left of the first page of your paper. The appropriate copyright clearance code notice depends on the affiliation of the authors as also specified in the electronic Copyright transfer form (for more details, you can check the guidelines set forth in the Copyright Instructions for IEEE Conference Proceedings):

·       For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright

·      For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-7281-2954-9/19/$31.00 ©2019 Crown

·      For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-7281-2954-9/19/$31.00 ©2019 European Union

·      For all other papers the copyright notice is: 978-1-7281-2954-9/19/$31.00 ©2019 IEEE

Latex users can add and un-comment one of the following lines as appropriate just before \begin{document} for the copyright notice to show up in your PDF:

Microsoft Word users, should place the appropriate text in a textbox (no borders) at the bottom of the left column on the first page. An example Word 2007-2010 (.docx) document, showing also the location of the text box, can be found HERE.

Manuscript updates

You may make final updates to your originally submitted manuscript, in particular for taking reviewer feedback into account. Major changes apart from those specifically addressing reviewer comments are not permitted.

2. Check format using IEEE PDF eXpress

Use IEEE PDF eXpress to check that your PDF file is Xplore-compliant. If not, you can also use PDF eXpress to convert your source files into an IEEE Xplore-compliant PDF file (e.g., for LaTeX users, create a zip file that includes dvi and your eps figure files all together, and then upload the zip file for the system to convert into a compliant PDF file; for MSWord users, upload the Word file and let it convert and return a compliant PDF file). Do NOT use ‘Approve for collection’ in PDF eXpress Plus, if requested.

To use IEEE PDF eXpress to check compliance of your PDF:

·       Go to IEEE PDF eXpress Website.

·       Create an IEEE PDF eXpress account (use conference ID: 47221X)

·       Use ‘new user’ if you haven’t used this site before.

Note that compliance with IEEE PDF eXpress is mandatory and must be checked prior to submission of your paper.

3. Submit the electronic Copyright form

Log-in to the SOFTCONF system and proceed to the final submission page for your paper. Before submitting the paper, follow the steps below (as also indicated on the final paper submission page of the SOFTCONF system):

·       Complete the web-based IEEE Copyright Transfer by clicking on the link “Please Click here to submit IEEE Copyright information”.

·       Fill in the electronic IEEE copyright form

·       Download the PDF of the completed form

·       Upload the PDF of the completed copyright form to SOFTCONF using the “Upload copyright file” link together with your paper (see next step)

4. Submit the final (camera-ready) paper

Submit your final paper PDF (and the source code as ZIP file) through the SOFTCONF system together with the PDF of the completed copyright form. Please check that the copyright notice in your PDF (only first page) matches the copyright specified in the copyright form (based on author affiliations).

5. Register for the conference

Note that each paper requires one full registration at the conference in order to be published. You must register before June 10th (at the early registration rate). The registration form can be accessed HERE.

6. Presentation of your paper

Presentation of the accepted papers/posters at the conference is mandatory. Papers that are not presented will be excluded from publication in IEEE Xplore.
